Objectives At the completion of this subject, students should be able to analyse recordkeeping processes for their effectiveness in supporting the storage, recall and dissemination of recorded information; summarise system requirements for a document management system, a records system and an archives system; develop a knowledge base representing the functions and activities of an organisation or of broader social and cultural contexts; establish strategies that manage access according to organisational or societal rules; and evaluate custodial arrangements for records.
Synopsis This subject will provide students with the ability to assess and manage recordkeeping processes which support the storage, recall and dissemination of records while protecting their evidential and informational qualities. The course will examine system requirements for document management, records management and the management of archives. It will also cover storage of records through time and the problems this causes, the establishment of knowledge bases representing functions and activities, the establishment of access strategies that manage access according to organisational or societal rules, and modern methods of disseminating records, including internets and intranets. The issue of custody and ownership of records will be examined in the context of changed circumstances, such as outsourcing of activities and the effect of electronic recordkeeping processes on notions of physical possession.
